5.1 Insurance Information

It is the responsibility of each Student-Athlete to have their insurance on file for every athletic year. Participation will be placed in the school’s insurance policy until a form has been submitted. Students must be able to show proof that they are covered by their parent’s insurance or they must enroll in Davis & Elkins College’s policy prior to registration. 

The Athletic Department insurance is SECONDARY COVERAGE and covers athletic injuries that occur during supervised practice, games and conditioning sessions. It pays after all other forms of coverage (i.e. parent’s insurance etc.) have been paid. It will not cover general illness such as cold, flu, ear-aches, etc. If you have an HMO or preferred provider insurance, you must only use authorized medical vendors from your plan. If parents or Student-Athletes choose not to use the authorized medical vendors, the Athletic Department and its insurance company will not be responsible for any bills. 

When an injury occurs, the following procedures should be followed: 

  1. At the time of medical treatment, the College athletic training staff will assist in supplying your primary insurance and parental information to the health care provider. The athletic training staff will also provide the college’s medical insurer for secondary coverage to the health care provider. 
  2. The health care provider will send billing statements to the Student-Athlete or name given on the information sheets. This bill must be submitted to the primary insurance carrier of the parents or Student-Athlete. 
  3.  Once your primary insurance coverage is exhausted, a statement and explanation of benefits (EOB) must then be sent to the secondary insurance company, and athletic training staff. 
  4. Upon receipt of the statement and EOB from your primary insurance company, the College will file the remaining portion.

5.2 Training Room Guidelines
 

Failure to abide by these rules will result in the loss of access to the Davis & Elkins Athletic Training Room. Student-athletes not cleared to participate cannot receive treatment from the Athletic Training Department. 

The Davis & Elkins College Athletic Training Staff reserve the right to NOT COVER events that have been changed to a different time without adequate notice. The Certified Athletic Trainer assigned to the sport must be notified as soon as possible by the coach so attempts to accommodate the request can be attempted. A MINIMUM of 24 hours is requested for all schedule changes. 
 

‘In season’ sports shall receive first priority in regards to practice coverage as well as pre- and post-practice treatment/taping. If special coverage is desired for other events please let the Athletic Training Staff know well in advance so schedules can be adjusted. NOTE: In-season sports are defined as the traditional season that the sport normally competes in for NCAA tournament or championships (Ex. Cross Country/Soccer/Volleyball = fall, Basketball/ = Winter, Baseball/Softball=Spring) 
 

Due to the COVID-19 pandemic, the following safety measure requirements are in place: 

  • Universal masks are to be worn at all times while receiving services from the Athletic Training staff. 
  • The Athletic Training Staff requires that athletes shower before receiving treatment. 
  • Daily Covid-19 screenings will be required prior to entering the facility and practice/competition. 
  • Social distancing will be mandatory. 
  • The Athletic Training Room is a healthcare clinic and place of business, not a lounge. If you are not receiving treatment, please make room for others. NO LOITERING. 
  • Athletic Training staff will direct athletes to specific use of equipment. 
  • Athletic staff will ensure proper sanitation of athletic facilities and equipment following state guidelines. 

General Rules and Regulations

  • *NO ONE* is allowed in the Athletic Training Room without supervision by a member of the Athletic Training Staff. 
  • Supplies will not be taken from the Athletic Training Room without permission; examples are tape, equipment, towels, and bottles. 
  • This facility is co-ed at all times. Appropriate dress is required. A minimum of shirt and shorts should be worn at all times during evaluations and treatments unless otherwise specifically directed by an Athletic Training Staff member. 
  • All injuries should be reported to the Athletic Training Staff for evaluation. 
  • Treatments will only be administered during designated treatment hours or by appointment with the Athletic Training Staff. 
  • It is the responsibility of the Student-Athlete to allow enough preparation time to be treated before practices/games. The Athletic Training Room is not an excuse to be late to class, practices, or games. Limited staffing and facilities = wait time. Plan ahead. 
  • Absolutely NO shoes on the treatment tables. 
  • All equipment is to be left in the hallway – NO cleats, spikes, etc. 
  • Profanity is prohibited and horseplay will not be tolerated. 
  • NO FOOD OR DRINK is allowed and the use of any form of tobacco is prohibited. 
  • Place all trash in appropriate containers – NO excuses. 
  • Empty ice bags when finished. Do not put melted bags in the trash. 
  • Personal items should be left in the locker room. The Athletic Training Staff is not responsible for lost or stolen articles.

5.3 Avoiding NCAA Banned Substances

The NCAA ban covers cover the following classes of drugs:
  • Stimulants
  • Anabolic Agents
  • Diuretics and Other Masking Agents
  • Street Drugs
  • Peptide Hormones and Analogues
  • Anti-estrogens
  • Beta-2 Agonists
 
Any substance chemically related to these classes of drugs is also banned.  Davis & Elkins College and the Student-Athlete shall be held accountable for all drugs within the banned drug class regardless of whether they have been specifically identified.
 
Dietary Supplement Warning: As a Student-Athlete before consuming any dietary supplement consult with the athlete training staff and thoroughly review the contents of the product. Supplements may cause a positive drug test result.

5.4 Medical Examinations


Davis & Elkins Athletic Department mandates that all incoming Student-Athletes as well as returning Student-Athletes have a medical examination on file with the Sports Medicine Department. Student-Athletes are encouraged to have their primary care physician perform an athletic medical examination prior to coming to Davis & Elkins College. In the event that a Student-Athlete is unable to have the athletic medical examination performed before returning to Davis & Elkins College one of our college physician’s will be able to perform the exam in house at the physician’s discretion. Prospective Student-Athletes must have athletic medical examination prior to having a work-out or try-out with any team at Davis & Elkins College. The medical examination must be at least six months from when the try-out is to have taken place.

5.5 Medical Director


Davis & Elkins Athletic Department Medical Director is Dr. Joseph Fazalare, United Hospital Center Orthopedics & Pain Management. If it is deemed necessary, you will be seen by our team physician for an athletic injury. Our Medical Director does have the final say in determining participation in athletic related events.
